The Challenge
A fast-growing B2B SaaS company had an aggressive Q4 trade show schedule: 8 conferences across 6 cities in 90 days. Their 20x30 booth required 4-6 trained staff at each event for product demonstrations, lead scanning, and attendee engagement. The company's internal sales team could only cover 2 of the 8 shows, leaving 6 events that needed external staffing.
- The shows spanned 6 different cities (Las Vegas, Chicago, San Francisco, Orlando, New York, Austin), making it impossible for a single local staffing vendor to handle all events.
- Their previous approach of hiring local temp agencies for each city had produced wildly inconsistent results: staff who arrived without understanding the product, couldn't answer basic technical questions, and sometimes didn't show up at all.
- Each trade show had different booth configurations, product demo flows, and lead qualification criteria, requiring event-specific training for every team.
- The company's booth was designed to showcase 3 different product lines, each requiring distinct demo scripts and technical knowledge. Staff needed to credibly demo enterprise software to CTO and VP-level attendees.
- Two of the 8 shows overlapped on the same dates in different cities, requiring simultaneous staffing coordination.
The Solution
Street Teams Co designed a trade show staffing program that treated the 8 events as a unified campaign rather than 8 individual bookings. A core team of 12 brand ambassadors with tech industry experience was assembled, with 4-6 deployed to each event based on booth size and expected attendance.
- 12 brand ambassadors with B2B technology or SaaS experience were selected from Street Teams Co's nationwide network. Priority was given to candidates with prior trade show staffing experience and comfort discussing enterprise software.
- A centralized training program was developed: a 90-minute virtual onboarding covering the company's 3 product lines, demo flow, lead qualification criteria (BANT framework), and CRM badge scanning procedures.
- Where possible, the same ambassadors were deployed to multiple shows, building continuity and product knowledge across the quarter. 8 of the 12 ambassadors worked 3+ events each.
- Street Teams Co assigned a dedicated account manager who attended the first event in Las Vegas alongside the client's team to observe, calibrate expectations, and create event-specific playbooks for the remaining 7 shows.
- Real-time lead counts and event reports were submitted by the team lead at each show, giving the client's marketing team daily visibility into booth performance.
The Execution
The 8 trade shows were executed over 90 days with Street Teams Co managing all staffing logistics, travel coordination, and performance tracking.
Shows 1-2: Las Vegas & Chicago (Weeks 1-3)
The first two shows served as calibration events. 6 ambassadors staffed the Las Vegas show (CES-adjacent event) while 4 handled the Chicago conference. The account manager attended Las Vegas in person to fine-tune demo scripts and lead qualification criteria. 2,800 leads were captured across both events, with the Las Vegas team averaging 95 qualified leads per day.
Shows 3-5: San Francisco, Orlando, New York (Weeks 4-7)
With the playbook refined from Shows 1-2, the mid-quarter events ran with higher efficiency. Ambassadors who had worked the earlier shows were prioritized for deployment, and new team members received enhanced training that incorporated real feedback from the first events. 5,400 leads were captured across these 3 shows.
Shows 6-7: Simultaneous Austin & Chicago (Weeks 8-9)
The most logistically complex phase: two shows on overlapping dates in different cities. Street Teams Co split the team, deploying 5 ambassadors to Austin and 4 to Chicago simultaneously, with the account manager providing remote support to both teams. 2,600 leads were captured across both events with zero quality issues.
Show 8: San Francisco Finale (Week 11)
The final show of the quarter featured the client's most experienced Street Teams Co ambassadors — veterans of 4-5 previous events who now had genuine product expertise. This team captured 1,200 leads in 3 days, the highest per-day rate of any event in the quarter.
The Results
Across 8 trade shows in 90 days, Street Teams Co's ambassadors captured 12,000 qualified leads, maintained a 94% client satisfaction score on post-event evaluations, and achieved the consistency that the client's previous patchwork staffing approach had failed to deliver. The client rebooked Street Teams Co for their entire Q1 and Q2 2026 trade show schedule.
